Shared Services Manager

Peterson currentely have a vacancy for a shared services manager.

The Shared Services Manager will ensure the smooth running of the Shared Services Department. Responsible for leading and motivating a team. Collaborating with key stakeholders to ensure that the department delivers excellent customer service. Understand the business needs and align yourself with company procedures and policy. Responsible for the accurate processing of transactions from vendor and customer accounts, credit control, payroll, payments of payroll and vendor accounts. Look at systems and processes and tries to find efficiencies where possible, preferable somebody with a good working knowledge of working with systems. Travel where applicable, managing international teams in the Netherlands and United Kingdom with potential for expansion to other countries.

Tasks and responsibilities

  • To lead and motivate the shared services team whilst ensuring that operational day to day tasks are delivered in a timely manner

  • Mentor, coach and develop individuals to ensure that the Share Services Team possess the right skills and knowledge to undertake the tasks required.

  • Look at systems and processes and tries to find efficiencies where possible

  • Understand the business needs and align yourself with company procedure and policy.

  • Travel where applicable, managing international teams.

  • Develop a best practise and streamlined process for all shared services across different countries and offices.

  • Collaborate and brainstorm with senior management and ERP team and attend regular catch up meetings.

  • Develop and maintain good working relationship with internal and external stakeholders

  • Communicating with colleagues from different cultures and offices to ensure that all share service have a consistent approach to procedures and processes,

  • Update Inside with new or revised processes, procedures in a timely manner.

  • Ensure that all sales invoices are prepared and issued on time, cash is collected and allocated appropriately

  • Ensure that all purchase invoices are processed and paid on time, queries resolved appropriately

  • Ensure that month end is processed in a timely manner and complies with our processes and procedures.

  • Ensure both customer and supplier accounts are maintained and reconciled to ensure they reflect the true position

  • Ensure bank accounts and petty cash payments are completed on a weekly and monthly basis respectively and entries are posted appropriately and accurately.

  • Ensure time writing and payroll are completed on a weekly and monthly basis in an accurate manner.

  • Ensure that the Share Services Team is sufficiently resourced, this includes taking an active role in the recruitment and selection of the team

  • Conduct regular staff appraisals to provide feedback of individuals' performance and where necessary manage poor performance in a timely manner, this includes attendance and conduct

  • Identify and implement process improvements

  • To carry out other delegated responsibilities as instructed, provided the instruction is reasonable and you are capable and deemed competent to fulfil the request

  • Comply with Level 3 of HSE Employee Responsibility and Accountability

  • Comply with Level 3 of Peterson Values and Behaviours

  • Excellent working knowledge of finance concepts

  • Computer literate, proficient in the use of Microsoft Office

  • Experience of Dynamics AX 2012 and OCR would be an advantage
